I acknowledge that if selected, I will be entering into contract with Trail Boss F&B on behalf of the San Antonio Stock Show & Rodeo. You will be required to be completely set up and ready to sell for the date range and hours of operation contracted and will be required to operate for the entire date range of the event as contracted. Early departures or late arrivals will not be tolerated.

FOOD ITEMS – MENU & PRICING: When determining pricing, please be inclusive of Texas State Sales Tax (8.25%), credit card fees and event commission. Listed menu price at your booth will be what customer is charged, nothing added on top of transaction. Will work on projected costs, expenses before finalizing contract (event will coordinate health, fire, utilities such as power & water). We are a Coke event, would you like to be issued soft drinks and water to sell in your area? We are working on our water/soft drink logistics and commissions program for 2026 - your final decision will be made at contract if selected. Event specific menus may be printed and issued for your space.

BOOTH SPACE – DIMENSIONS, DIAGRAM, REQUIREMENTS Final vendor selections are also based on booth/stand size and requirements for operation. Please be as thorough as possible, so your space can be as successful as possible and we can accommodate your needs best we can. PHYSICAL SPACE NEEDS – measure the space you need to function (include permanent trailer tongue, doors that need to open, etc..) Do you need BOH space for storage, additional equipment or workspace, etc.? How much space? HOW MANY EMPLOYEES WILL BE OPERATING YOUR BOOTH? On-Site Parking is limited. Food vendors will be provided a parking space and employees will park at our off-site shuttle lot and be brought on/off-site as needed. Shuttles run on nearly round the clock basis. Vendors to coordinate with Trail Boss F&B staff on deliveries, etc. Vehicle traffic on grounds stops at 9am daily.

POINT OF SALE SYSTEM INFORMATION As in years past, you may be issued a Point of Sale system for use during the event, if so, you will be required to use it. Reporting and transparency will be emphasized so all parties are confident and aware of all sales activities for operating accuracy and efficiency. Our event accepts cash and credit. **If Trail Boss F&B issues POS equipment to you for use in 2026, equipment rental & software fees will be excluded from commissionable revenue. Food vendors are responsible for sales taxes and credit card transaction fees, which will also be excluded from commissionable revenue. Final details to be spelled out in Food Vendor contract.

MARKETING & PUBLICITY Will you participate in marketing & promotional activities such as: Media/News Appearances or Tastings, Social Media Photos/Video or other coverage, etc. All requests to come through an approved representative of Trail Boss F&B on behalf of the San Antonio Stock Show & Rodeo. Is there a select item that could be added to your menu that is at discounted price, special size or sample that could offer a customer an inexpensive choice on your menu?

EVENT COMMISSION RATES: 55% Vendor / 45% Event of Commissionable Sales (After Texas Sales Tax, Credit Card Fees). *2003-2024 Rates were 50/50% split. Details on Water/Coke Product processes and commission structure still in planning. All Food Vendors are responsible for being eligible to and to pay Texas Sales Tax on all qualifying items sold.
INSURANCE & INDEMNIFICATION REQUIREMENTS: Worker’s Compensation – In Accordance with Texas State Law Employer’s Liability - $1,000,000 each occurrence Comprehensive General Liability - $1,000,000 each occurrence Comprehensive Automobile - $1,000,000 each occurrence Excess Liability, Umbrella Form with respect to Comprehensive General Liability, Comprehensive Automobile Liability - $3,000,000 each occurrence *All insurance policies and COI shall name Trail Boss F&B, San Antonio Livestock Exposition, Inc. and Coliseum Advisory Board (C.A.B.) as Additional Insureds.

FEES – UTILITIES, HEALTH & FIRE PERMITS: Food vendors will be billed at daily settlement for reimbursement of required City of San Antonio Health & Fire Permits and a utilities charge for logistical needs. Food vendor may choose to pay these fees in a lump sum if so desired. Fee structures should be identified at time of contract or at start of event and daily settlements.

HOURS OF OPERATION: Depending upon your assigned space, the San Antonio Stock Show & Rodeo is an 18 day event with general hours of 9am to 9pm. Some locations are for 20 days and operating hours begin much earlier. Sales may begin earlier in the morning or continue past 9pm if the crowd dictates. Exact hours for your vendor space will be specified on the contract.
